Power BI: Alerts and Subscriptions

Power BI Video Series | Episode 7

In this video series, Trainer Steven Knight covers key aspects of using Power BI Reports and Dashboards, in eight short & accessible episodes. This video is applicable for both Windows and Mac operating systems, and simply requires the use of an up-to-date web browser.

This episode covers how to manage alerts and subscriptions on Power BI.

Manage alerts

On cards containing key values within a dashboard or report select the overflow menu (…). Then select Manage Alerts. Within this menu, you can set up custom alert rules. Give the alert a title, and set condition (Above, Below) and threshold (i.e. Below by 100). Then you can select the frequency, opting to be notified either every 24 hrs or every hour if the data changes.

Once this is complete you will now receive an email according to your settings. However, you are also able to use Microsoft flow to use alerts to influence larger parts of your work environment.

Some examples of options available when pairing Flow and Alerts include:

Make an announcement on teams
Trigger task in the planner
Send request approval to purchasing officer

Subscribe

To stay up to date with dashboards and reports use Subscribe feature to receive regular updates on the overall status of the report or dashboard. Find this option in the top document ribbon.

Choose to receive email notifications, daily, weekly or when the data refreshes.

You also have the option to select the frequency and duration of these notifications. Allowing you to monitor updates during critical periods in your organization.
